A QR code sign-in sheet for your next open house

Paper sign-in sheets lose contacts to messy handwriting. Here's how to set up a QR code sign-in that visitors fill in on their own phone, and what to ask.

fayvi ·

A paper sign-in sheet at the door does its job until you try to read it. Half the emails are missing a letter, a phone number trails off the line, and someone wrote only their first name. Then you spend Sunday night typing it all into your CRM.

A QR code sign-in fixes most of that. Visitors scan, fill in a short form on their own phone, and the entry is waiting for you, typed by the one person who knows how to spell their name.

What to ask

Keep the form short. Every extra field is a reason to skip it. A good open house form fits on one phone screen:

  • Name (required)
  • Email (required)
  • Phone (required, or optional if you'd rather not push)
  • Are you working with an agent? Yes / No
  • When are you hoping to move? 0–3 months / 3–6 months / 6+ months / Just looking
  • How did you hear about this open house? (optional)

The agent and timeline questions do the sorting for you: who to call first, who to add to your newsletter, and who already has representation.

Build the form

On fayvi: add a Form block and choose your fields: text, email, phone, a dropdown, a checkbox, a number or a date. Mark the ones that are required, set the button label ("Sign in") and the message people see after sending ("Thanks for stopping by. The brochure is just below.").

Put the form on its own tab, named after the property or simply "Open house". Every tab has its own address, like fayvi.co/yourname/open-house, so the QR code can take visitors straight to the form instead of your home tab.

Under the form, add what visitors want to take home:

  • photos of the listing (Image blocks)
  • the brochure as a PDF (a File download block)
  • the location (a Google Maps embed)
  • answers to the usual questions, like HOA fees, parking and schools (an FAQ block)
  • a way to book a private showing (a Calendly block)

Make the QR code

On fayvi: open QR codes, create a code and point it at your open house tab. Pick your colors, dot style and logo, then download it as a PNG for flyers and table cards, or as an SVG for large signs.

Because the code is dynamic, you can point it somewhere else later without reprinting. Next weekend's open house can use the same printed sign: just change where the code goes. Every code counts its scans, over time and by country and device, so you'll know how many people actually used it.

Print it and place it

  • At the door, at eye level, with a line that says what it's for: "Scan to sign in."
  • On the kitchen counter, next to the printed flyers.
  • On the flyer itself, so people who take one home can still sign in later.

Before the first guest arrives, scan it with two or three different phones. Keep strong contrast (a dark code on a light background) and don't print it tiny.

Keep a paper sheet and a pen next to it anyway. Some visitors won't want to scan, and some houses have no signal in the basement.

After the open house

Every entry lands in Submissions, on every plan. From there:

  • Get an email for each new entry (turn it on under Account → Emails), so you can follow up the same day.
  • Export a CSV to import into your CRM or a spreadsheet.
  • Send entries to your CRM automatically with a webhook, directly or through tools like Zapier and Make.

Visitors can also save your contact card from your page's share sheet, which beats a business card that ends up in the recycling.

Do visitors have to sign in?

It depends on your state, your brokerage and the seller. Many agents ask every visitor to sign in, for the seller's security and to know who already has an agent. Check your local rules and your brokerage's policy, and add a line under the form saying how you'll use the information.

The short version

  • Six fields at most; the agent and timeline questions do the sorting.
  • One tab per open house, and the QR code lands on it.
  • Photos, brochure, map, FAQ and a booking link under the form.
  • A dynamic QR code: print once, re-point it every weekend.
  • Test the scan, and keep a paper backup.
  • Email alerts, a CSV or a webhook to your CRM.
